Teams
Teams let you collaborate with others on your forms. Invite team members to your workspace, assign roles, and control who can access which forms.
Inviting Members
- Navigate to Team in the sidebar.
- Click Invite Member.
- Enter the person's email address.
- Choose a role (Editor or Viewer).
- Optionally restrict access to specific forms.
- Click Invite.
What Happens When You Invite Someone
- If they already have a RapidForm account — They are immediately added to the workspace as a team member.
- If they don't have an account — An invitation email is sent with a link to sign up. When they create their account, the invitation is automatically accepted and they are added to the workspace.
Roles
| Role | Description |
|---|---|
| Owner | Full control over the workspace. Can manage team members, billing, custom domains, and all forms. Each workspace has exactly one owner (the person who created it). |
| Editor | Can create, edit, publish, and delete forms. Can view and manage submissions. Cannot manage team members or billing. |
| Viewer | Can view forms and submissions. Cannot create, edit, or delete anything. |
Form-Level Access Control
When inviting a member, you can choose between:
- Workspace access — The member can access all forms in the workspace.
- Specific forms — The member can only access the forms you select.
You can update form access for existing members at any time from the Team page.
Managing Team Members
From the Team page, the workspace owner can:
- Change roles — Switch a member between Editor and Viewer.
- Manage form access — Update which forms a member can see.
- Remove members — Remove a member from the workspace entirely. This also removes their access to all forms in the workspace.
Pending Invitations
Invitations that haven't been accepted yet are shown in a separate section on the Team page. The workspace owner can cancel pending invitations at any time.
Team Member Limits
Team member limits are counted across all workspaces you own, including pending invitations:

For example, if you're on the Pro plan and have 2 members in one workspace and 1 pending invitation in another, you've reached your limit of 3.
The workspace owner is not counted toward the team member limit — these limits apply to additional members only.
